Configuration types in the Global settings

Global settings enable the owner or administrator of the gym or the club to assign or restrict software rights which will not be user-specific however will be applicable to all the users of the software including the owner or the administrator. 


Below are the settings to manage the Global configuration:


Backdated Entry:

Backdated entry allows you to create invoices on the current date for the sale done on a date previous than the present. You can also restrict validity for this setting changes, post which it will revert to its original permission.


Steps to Allow Backdated Billing





  • After Login into the software


  • Under Settings Tab you need to click on the Global Setting option.





  • For enabling the backdated billing setting you will need to click on the Select Tab. In the drop-down menu against the Select Tab, you will need to click on the backdated entry option.



                            


  • Click on Edit option





  • After clicking on the Edit button, you need to change the Value (Value - Value indicates the number of days you want to allow to create the backdated invoices.) e.g. If today on Apr 17, 2020, you want to create an invoice for a sale made on Mar 18 2020, you will need to keep the Value as 60 so that the software allows you to create a previous invoice.


  • Then you need to select the date in the Valid Till Date field (Valid Till Date indicating till when do you wish to allow the backdated billing).


  • After selecting the Valid Till Date you need to click on the Update option. Note: After the Valid Till Date is over the Value will be by default set to 1 which means you can only create one day backdated invoice.


  • Add Location: ‘Location’ is a field in software to capture the area where the client resides, it is a field which reflects on the Enquiry, Member and Trial Forms.

Steps to Allow Backdated Billing



  • For Adding a new location you need to click on Settings Tab and then on Global Setting as shown in the Previous Images.


  • Click on the New Global option on the left-hand side and you will be redirected to the location adding configuration page.




  • Enter the fields as listed below:


  • In Param Class, you need to type the short form for Location i.e. ‘Loc’.


  • In Param Text and Param Value you need to add the name for the required location for e.g. ‘Andheri’.


  • In the Description field, you can provide a suitable description of the location.


  • Once each and every field is filled properly you can click on the Submit button and location will be added.





  • And it will also reflect in the Location field drop-down in the Enquiry, Member and Trail Forms.



Adding Source: ‘Source’ is a field in software which implies from where did the client get to know about your Gym e.g. Facebook, Website, Just-dial, Flyers.


Steps to Add a Source





  • For Adding a new Source you need to click on Settings Tab and then on Global Setting as shown in the Previous Images.


  • Click on the New Global option on the left-hand side and you will be redirected to the source adding configuration page.





  • In Param Class, you need to type the code for Source i.e. ‘src_enquiry’.


  • In Param Text and Param Value, you need to add the name for the required source e.g. Facebook.


  • In the Description field, you can provide a suitable description for the added source.


  • Once each and every field is filled properly you can click on the Submit button and source will be added.





  • Once the Source is added it will reflect on the Prospects, Trail and Member Forms under Source field.



Adding Enquiry Type: ‘Enquiry Type’ is a field in FitnessForce Software which implies how your client is contacting the Gym or the Club e.g. Through Phone, Website, Justdial etc.

Steps to Add an Enquiry Type





  • For Adding a new Enquiry Type you need to click on Settings Tab and then on Global Setting as shown in the Previous Images.


  • Click on the New Global option on the left-hand side and you will be redirected to the location adding configuration page.





  • In Param Class, you need to type the code for Enquiry Type i.e ‘enquiry_type’.


  • In Param Text and Param Value, you need to add the name for the required source for eg: ‘Phone’


  • In the Description field, you can provide a suitable description for the added source.


  • Once each and every field is filled properly you can click on the Submit button and source will be added.





  • Once the Enquiry Type is added it will be reflecting in the Prospects, Trail and Member Forms under the Enquiry Type Field.


Activation Earlier than Purchase Date: In scenarios wherein the Member has started his Membership but he will be paying the amount later, however on these types of invoices the activation date falls before the Purchase Date of the membership. This setting will allow you to create these kinds of invoices.

Steps to Allow Backdated Billing





  • For enabling the ‘activation earlier than purchase date’ setting you need to click on Settings Tab and then on Global Setting as shown in the Previous Images.


  • Once you reach the Global Settings page you need to click on the Select option and under Select option click on ‘activation earlier than purchase’.





  • Click on the Edit option.





  • After clicking on the Edit option you can mention the number of days i.e. the difference between the Purchase Date and the Activation date which you wish to allow, those number of days should be mentioned in Text and Value fields 


  • Once it is done then you can click on the update option.



Future Activation No. Of days This setting allows you to create invoices with the future activation date. The setting should be enabled in case the gym / club management allows future activation of the membership. You can have the activation date for a future date set on for 30 days, 90 days, 365 days, and so on depending on the gym / club policy. There are few scenarios wherein this setting comes handy.

Example 1: A member is purchasing the membership today 01-Jun-2020 and wants the activation date to a future date 30-Jun-2020.

Example 2: If the member has bought a membership on 01-Jan-2020 and started the workout on 21-Jan-2020 and the bill was created on 01-Jan-2020 however the activation date was set as 1-Jan-2020, then with this setting you will be able to change the activation date to 21-Jan-2020. Note: This setting is a global setting and not user-specific.


 Steps to Set the Future Activation Number of Days



    
    • After Login into the software    

    • Under Settings Tab you need to click on the Global Setting option.

    • For enabling the FutureActivation_noofdays setting you will need to click on the Select Tab. In the drop-down menu against the Select Tab, you will need to click on the FutureActivation_noofdays option.



    
    • Click on Edit option




    • Text and Value: After clicking on the Edit button, you need to change the Text and Value (Text and Value - indicates the number of days you want to allow to have future activation date.) e.g. If today on 1-Jun-2020, you want to have activation date on invoice as 30-Jun-2020, you will need to keep the Text and Value as 30 or more depending on the gym/club policy so that the software allows you to have the future date on the invoice or while editing an existing activation date of an active members membership.

    • Status: Will remain as Active

    • Click on Update hyperlink. 


FAQ’s

1. How to disable these settings?

Ans: These settings are only done by admin and if they want to disable it they can click on the edit option and under Prm Status field they need to make it inactive and hence the setting will get deactivated.


2. Can only the Admin have rights for Backdated Billing and Selecting the Activation Earlier than Purchase?

Ans: Global Settings are applicable for everyone hence if you wish to restrict it from using it, you would either change the Text and Value or disable the setting by making it Inactive.
