Subscription Billing for Subscription, Sign-up charges and Deposit



  1. For creating the first subscription signup invoice, you will have to search the client in the Omni Search if its an existing client and in case if its a new member where-in the profile doesn't exists in the software then you will have to create the new Member profile by clicking on Member hyper link.
  2. Click on the “Membership Bill” quick link of the members profile as shown in the image or you can also got to Purchase History in the clients profile and click on Create Membership Bill.

  1. After clicking on the “Membership Bill” the image above shows the details that needs to be followed.
  2. Bill Date is the date that the client purchased the subscription plan.
  3. Plan Subscription: In the mid section, Plan Subscription is the tab that needs to be selected to get all the subscription plan based products to be visible for adding to cart.
  4. The list will appear and you can select the plan for which the member has requested for.
  5. The icon of contract is shown in the image.

  1. The above image shows the Contract Start Date which can either be the Bill Date or as per the members request for the activation date of the recurring membership to be set.
  2. Billing Cycle drop down shows the fixed date to be selected as the billing cycle which has been set by the centre at the time of configuration.

  1. The above image shows the contract is added to the cart.
  2. The amount shown in My Cart is the Pro-rata amount which gets calculated automatically by the software from the activation date till the next billing cycle plus one deposit amount. For example as per the image the activation date was set as 30-Mar-2021 and the next billing cycle is 5th of every month so the pro-rata amount calculation is from the 30-Mar-2021 till 04-Apr-2021.
  3. In the orange box is the total amount including the tax.
  4. Click on Submit button to create the sign-up link for the member.
  5. Note: The discount is not applicable here. And No other mode of payment allowed like Cash or Cheque.

  1. Once the submit button is clicked then this message popup appears which says “ Link Sent Successfully”, this means the client will be receiving the link through Email / SMS for the client to enter their card details.

  1. The above image is for the member who receives the email for the payment link.

  1. The above image shows the email received by the member.
  2. The email content contains the members name and the amount the client is charged the pro-rata amount.
  3. The member has to click on the hyperlink for getting the billing landing page.

  1. The image above is the landing page for accepting the T&C and Subscription Plan details. The image is of mobile view, its what exactly the member will be viewing to.
  2. The Prorate amount has been mentioned.
  3. To check the T&C, the client needs to click on T&C so that they can get the popup of the T&C.



  1. The Checkbox needs to be ticked or else the Pay Now will not be active to be clicked on.
  1. The cart shows the total amount to be charged.

  1. Once the client clicks on the "Pay Now" button the above image appears to enter the card details.
  2. The image is of the mobile view that is how the member will be able to view on their cell phone.

  1. After the member enters the details of the card, they will have to click on “Proceed”.
  2. Here also, the member will have to click on the checkbox which means for the member agreeing the payment to be deducted automatically from their account on monthly basis.

  1. The above image appears which is of after clicking on “Proceed”.

  1. The client with receive an OTP on his / her number which he / she will receive from their bank to enter here and then click on “ PAY”.

  1. The above image appears after clicking on PAY.

  1. Finally after the amount gets deducted from the clients bank and the centre receives the payment, the above image appears to the member.
  2. The above image is of the mobile view which the member will be able to view on their cell phone.

  1. The member will receive and email from the Payment gateway for successful payment.

  1. The above image shows the email received by the member from the payment gateway. In this case it is from PayU.
  2. The email content contains the members name, the amount and their phone number

  1. The above image is of the SMS received by the member from the payment gateway.




  1.  Above image is of the member profile after the payment gets cleared of the first sign-up, subscription and deposit.
  2. The Valid Membership will show the membership details.
  3. The card details which was entered by the member appears on the profile with the first and last 4 digits.

  1. Above image is of the 2 invoices of the first sign-up, subscription and deposit in the purchase history tab.

  1. The above image is of the Subscription Details tab which contains the subscription plan details.
  2. The subscription tab has the current plan, subscription amount that will be deducted every month, next billing date and in case the auto renewal is not there then the expiry date.
  3. Note: The subscription amount shown in the image is without the tax. After billing, the tax will be included.
